Drivers, Vehicles and Maintenance

Driver management

Create a driver with an active profile, department, login credential, contact information, status, and any required payroll/roster settings. Use filters to locate drivers; the selected filters remain while paging and the footer shows the filtered result count.

Deactivate a driver when they must not sign in or be planned. Do not delete operational history to solve a current scheduling issue.

Vehicle management

Maintain vehicle number, registration, capacity, status, and driver relationship. A vehicle can be reassigned or temporarily shared only after confirming it is operationally available.

Maintenance history

Open a vehicle and use the Maintenance tab. The page shows history only; click Add Record to enter a new record in a modal.

Record:

  • type: maintenance, repair, breakdown, inspection, tyre, accident, or custom;
  • from date and optional to date;
  • issue and work performed;
  • supplier/workshop, cost, reference, and attachments where used;
  • whether the vehicle is unavailable.

An empty to-date means the vehicle remains unavailable. The duration is calculated from the dates. Planner should not schedule an unavailable vehicle; swap vehicle or temporarily assign an available vehicle before continuing work.

Mid-service breakdown

  1. Mark the vehicle unavailable and create a breakdown record immediately.
  2. Inform dispatch; do not wait for the original route to fail.
  3. Reassign the remaining stops to an available vehicle/driver while preserving stop sequence.
  4. Push the revised plan to the Driver App.
  5. Record the operational decision/stop remark and retain service evidence.
