Planner and Driver Dispatch
Planner is the service-day control board. It converts accepted orders into driver assignments, exact stop IDs, service times, driver notifications, and app-visible tasks.
Before planning
- Confirm every order is accepted and has the correct service date.
- Open
Planner. - Select Service Date and then Driver Department. Planner intentionally does not load a task list until a department is selected.
- Optionally filter by customer, WhatsApp status, and More Filters.
- Review department indicator dots: no dot means no task; a coloured dot indicates work or an exception on that date.
Manual planning SOP
- Select the driver for each stop.
- Set the service time for every required stop. Save/change actions are persisted; refresh should retain the selected time and stop ID.
- Add or review the stop remark beside the selected driver. A red indicator means the stop has a saved remark.
- Confirm pickup/drop-off route order. Each exact stop ID must follow the intended route sequence.
- For a multi-route order, open Orders → Order Detail and set the Wait Before Next Pickup (Minutes) on each drop-off that is followed by another pickup. The default is 60 minutes and can be changed from 0 to 480 minutes when the customer or operation requires a different layover.
- Review attachment requirements and special requests.
- Click Push to Apps only after the day plan is correct.
Auto Plan
Auto Plan uses active drivers, leave/rest-day restrictions, service-time anchors, route sequence, routing distance and the configured planning rules.
- A pickup is planned before its matching drop-off.
- A later route begins after the prior route drop-off plus routing travel time and the wait configured on that drop-off. The default is 60 minutes. For example, STOP 2 drop-off at 10:00, 15 minutes travel, and a 60-minute wait means STOP 3 pickup cannot be before 11:15.
- A manually entered later pickup time is an anchor. If the chain cannot meet that anchor, Planner should show an exception rather than silently violate sequence.
- Auto Plan may use fewer drivers when the workload can safely be completed by fewer drivers. Fixed customer times, availability, rest days, vehicle restrictions, and travel time may require more drivers.
- Use Reset Planned only when you want to remove draft/auto planning and replan. It should not be used after a plan has been communicated without informing drivers.
Push to Apps
Push to Apps publishes the current planned assignments to the Driver App and sends task-change notifications. It does not replace planning or validate missing required fields for you.
Before pushing, verify:
- driver is selected and active;
- service time is saved;
- exact stop IDs are correct;
- driver has no leave/rest-day or vehicle-blocking conflict;
- required route sequence is valid.
If the result says 0 stops pushed, check the visible validation/error message, assignments, service date, driver device/app registration, and whether the stop is already completed or no longer eligible. Correct the plan and push again. Drivers can pull down to refresh after receiving the notification.
Driver changes and notifications
A driver receives a persistent task notice when a stop is added, removed, or its pickup/drop-off address changes after a push. The notification starts with the exact stop number, for example STOP 101 - drop-off address changed. The driver must tap Got it! to acknowledge it.
Selecting and resolving planning issues
- Click the left selection lane to select one stop. Hold Command on macOS or Ctrl on Windows while clicking normal table space on another stop to add or remove it from the selection. Do not click a driver picker, time field, link, or other button when using this shortcut.
- A red indicator before Stop ID means the stop is unassigned or has a planning conflict. Click the indicator to read the exact issue, including the affected STOP IDs, minimum valid time, routing travel, and any configured waiting time.
- Correct the earlier or later stop time, then save it. Re-run Auto Plan only when you want Planner to recalculate the chain.
Troubleshooting
