Tenant Administration
Tenant Administration covers organization settings, access control, profile templates, communication templates, customer setup, and operational configuration.
1. Organization and Access Control
Use Organization -> Access Control to control module access.
Recommended restrictions:
- finance cost visibility only for finance/admin users;
- quotation sending only for authorized users;
- fuel sync and cost recalculation only for admin or operations lead;
- payables and receivables only for finance users.
2. Departments
Departments are used for:
- customer default department;
- driver roster and dispatch filtering;
- staff and driver assignment;
- reporting and operational grouping.
Keep department names clear and avoid duplicate operational meanings.
3. Profile Templates
Profile includes document and message templates.

| Billing Email Template | Email body for monthly billing documents. |
| Quotation Template | Billing and payment instructions below quotation totals. |
| Communication Templates | WhatsApp messages for passenger and customer group communication. |
4. Order Settings
Order Settings controls:
- preset routes;
- packages;
- surcharges;
- order add-ons;
- fuel price sync;
- routing cost recalculation.
Configured add-ons are reusable. Custom one-off add-ons are order-specific and do not update settings.
5. Customer Setup
Customer setup should include:
- customer company name;
- customer ID and short name;
- default department;
- billing terms;
- contact details;
- group chat link when WhatsApp group communication is used;
- customer login credentials if customer will submit orders directly.
6. User Maintenance
Tenant admins should regularly review:
- active staff accounts;
- driver accounts;
- customer users;
- access permissions;
- suspended/resigned users.
Disable accounts that no longer require system access.
